Youth Ambassadors Program Coordinator – Latin American Youth Programs
World Learning seeks a Youth Ambassadors Program Coordinator to play vital role on the Latin American Youth Programs Team (LATAM) in the acquisition, management, design, and support of programs for high school students and adult mentors. These three to four week exchanges are based in the United States, or select countries in North, Central and South America, and focus on civic education, community service, and youth leadership development with students from across the Americas. The position entails involvement in grant oversight and management, and programming, with minimal on-the-ground participant interaction.
The Youth Ambassadors Program Coordinator reports to the Youth Programs Manager and is a professional, full-time position that requires excellent organizational, logistical and interpersonal skills, as well as the ability to work effectively with diverse teams as this position actively engages with other Youth Team members and external audiences. The Latin American Youth Teams’ current portfolio includes the Youth Ambassadors Program and Jóvenes en Acción. The position is based in Vermont or Washington D.C. depending on the applicant’s preference.
Responsibilities
Grants Management
- Ensure that Department of State guidelines are followed and deliverables are met;
- Support the design and development of grant proposals, in response to new funding opportunities;
- Support the standardization and development of the Youth Ambassadors Program.
People Management and Supervision
- Work collaboratively on a team including Manager, Program Officers, Program Associates, Operations Coordinator, Interns, and Program Facilitators;
- Supervise, train and monitor program Interns;
- Maintain communication with USYA participants, partners, and staff and act as liaison for questions and problems;
- Assist in providing supervision of USYA participants during their Pre-Departure Orientation prior to international travel;
- Support student management, including responding to health, discipline, and behavioral issues.
Budgeting and Financial
- Support the management of SubAward agreements with YA Consortium partner organizations;
- Support and track financial payments, reimbursements, and reconciliations for YA Consortium and LATAM Team exchanges, in compliance with Finance Department requirements and guidelines.
Program Design and Management
- Assist in all aspects of USYA Pre-Departure Orientation workshops, including logistical, financial, and programmatic arrangements;
- Assist in the preparation and dissemination of materials to Department of State, program partners, field staff/in-country consultants; and participants as needed;
- Assist YA Consortium partners, in coordinating the recruitment, application, interview, and selection process for all youth and adult participants;
- Support YA Consortium partners and team members in day-to-date SalesForce management, reporting and troubleshooting;
- Assist with monitoring and evaluation data collection and analysis using surveys and analytics;
- Coordinate and maintain alumni communication and activities.
Administrative and Logistical Support
- Assist the Manager of Latin American Youth Programs in collaborating with Youth Ambassadors Consortium partners to ensure exchange preparations, reporting and processes are timely and consistent;
- Support in the creation of quarterly and ad hoc reports for funders and program partners;
- Prepare, disseminate and track pre-departure documentation for USYA program participants;
- Manage vender relationships, logistics, and meals for participants’ Pre-Departure Orientation;
- Manage the Youth Ambassadors general email inbox and provide informative and timely responses to outside inquiries, in both English and Spanish;
- Support coordination with the Operations Team in:
- The management of travel and lodging arrangements for USYA participants and seasonal Program Facilitators;
- The processing of ASPE health benefits;
- Updating the Incident Reporting Tools;
- Support the On-Call Support system during program implementation;
- Manage Youth Ambassadors program presence and content across social media platforms through collaborative work with internal and external project teams;
- Use social networking and online project management tools to monitor projects and to increase overall program visibility to funder and external audiences;
- With input from team members, lead the development and delivery of a Youth Ambassadors social media strategy, that spans all Youth Ambassadors Consortium partners;
- Support in the creation and maintenance of content for Interactives page, website and blogs;
- Support the development and maintenance of a comprehensive participant and alumni database;
- Research and identify appropriate US-based collaboration opportunities to engage US youth with Youth Ambassadors and Jóvenes en Acción participants; and
- Handle other tasks as assigned.
Requirements
- Bachelor’s Degree with two years of related work experience or a Master’s Degree plus one year of related work experience;
- Understanding of experiential education and youth empowerment pedagogies, with demonstrated examples of incorporating these pedagogies in professional work;
- Experience with international programs, event management, or youth programming;
- Experience with virtual programming and digital communication, and monitoring and evaluation of projects;
- Excellent written and verbal communication skills in the English language, with understanding of social media as a professional tool to enhance visibility;
- Computer proficient, i.e. comfortable with Microsoft Office suite (Word, Excel, PowerPoint et al), cloud-based document management and online project management tools;
- Knowledge of USG procurement policies and grant management desired;
- Knowledge of and experience with proposal development, project design, grant management, and budgeting;
- Team-oriented and collaborative work style, while skilled in managing independent tasks and deadlines;
- Creative problem-solver and adaptable, with strong attention to detail;
- International residence or international travel experience, with demonstrated cross-cultural competencies;
- Proficiency in a second language (preferably Spanish or Portuguese);
- Demonstrated ability to manage multiple tasks simultaneously, coordinate activities in multiple locations (U.S. and overseas), and to prioritize competing tasks;
- Regional experience in Latin America and the Caribbean;
- Knowledge of and experience working with Salesforce;
- Willingness to work outside of regular business hours as needed during high travel season.
